Affiliate Meetings

AFFILIATE MEETING REQUESTS

Any meeting or event that involves AACR scientific meeting attendees hosted by a company or organization, regardless of exhibiting status, is considered an affiliate event and must be approved by the AACR. If you plan to hold a function during the 2025 Annual Meeting, you MUST complete the survey below. Please submit one request per event. If your event requires more than one meeting room, you must submit a separate request for each room needed. Please note that Affiliate Meetings are different than Meeting Rooms.

Affiliate Meetings are any meeting or event hosted by a company or organization that involves AACR scientific meeting attendees. These meetings take place at one of the approved affiliate hotels and must be approved by the AACR. Affiliate meetings can be held by both exhibiting and non-exhibiting companies/organizations and there is a separate fee to host these types of meetings.

Meeting Rooms are built out rooms in South Hall A of the convention center ranging in size from 10’x10’-20’x20’. Meeting Rooms provide exhibitors with the ability to host staff meetings during the Exhibit Show and are a great opportunity to create a unique, private showroom or lounge for hosting clients and prospects. These meeting rooms can only be purchased by exhibiting companies/organizations and can only be purchased through the Exhibitor Dashboard on Map Your Show.
