The AACR Annual Meeting offers an opportunity to increase the visibility of your organization among the world’s most prestigious scientists and other cancer professionals. Annual Meeting attendees are laboratory scientists and clinical investigators specializing in all aspects of cancer research, including experimental therapeutics, molecular targeted therapies, chemistry, molecular biology and genetics, immunology and immunotherapy, tumor biology, virology, toxicology, prevention, and clinical and translational research.

Booth sales are now open. If you have exhibited with us in the past, email [email protected] for your booking code and enter the code into the application form. New exhibitors should select “I Don’t Have a Booking Code” on the application form to choose booth space.
AACR Annual Meeting 2025 Booth ApplicationEXHIBIT SPACE FEES
- 10’x10’ Inline Booth $4,450
- Corner Charge $200 per corner
- 10’x10’ Premium Booth $4,650 (Opposite Posters Sessions, Coffee Breaks, AACR Central)
- Island Booth Spaces $46.50 per sq. ft.
- Non-Profit Booth Spaces $900 each (for first booth; regular rate for any additional booths)
*To qualify for the Non-Profit rate, you must select booth space in the non-profit section in the Hall.
BOOTH PAYMENTS
A 50% deposit for your booth space is due with your application or within 30 days of your application, and the full payment due September 13, 2025. Exhibitors that sign up after September 13 have 60 days to pay in full. For payments using ACH, check, or wire transfer, please contact the Exhibits Team.
BOOTH CANCELLATIONS
Notification of booth space cancellation or space reduction must be submitted in writing and received on or before the following dates. The following fees will apply to any cancellations or reduction in exhibit space:
- June 15-November 15: Exhibitor is responsible for 25% of booth fee.
- After November 15: Exhibitor is responsible for the entire booth fee. No Refund will be issued.
Exhibitors that sign up after November 15 have 60 days to cancel for a partial refund, 25% of booth fee. After 60 days from receipt of booth space, Exhibitor is responsible for the entire booth fee.
BOOTH RENDERINGS
All exhibitors with Island booths must submit booth renderings to AACR for approval. You cannot set up your booth if your rendering is not approved. If you have not submitted your island booth renderings, please do so. Upload your design through the Exhibitor Resource Center on Map your Show.

Exhibitors who submit their exhibit space application with a 100% deposit will be able to make reservations or book a block of hotel rooms when Exhibitor Housing opens on Tuesday, September 10, 2024.
Reservation requests are processed in the order in which they are received and from a protected block of rooms for exhibitors.
Exhibitors may not be permitted to reserve blocks at the Headquarter Hotels.
Housing Deadlines
Wednesday, March 12, 2025: Rooming list deadline date for group blocks.
Friday, March 14, 2025: Last day to request housing based on availability.
Wednesday, April 16, 2025: Last day to make changes / cancel through AACR Housing.
Friday, April 18, 2025: Reservation changes / cancellations must be made directly with the hotel(s).

The American Association for Cancer Research ® has partnered with Convention Management Resources (CMR) as the official provider of Housing Services for the AACR Annual Meeting 2025. Exhibitors are strongly encouraged to book within the AACR block as we cannot guarantee any hotel reservations made directly with hotels or third party websites.
2025 CAREER AND BIOMEDICAL RESEARCH CAREER FAIR
The AACR 2025 Career Fair is a great opportunity for exhibiting companies to expand their footprint at the Annual Meeting, attract top talent, and make connections with scientists at all career levels. AACR OFFICIAL VENDORS
Convention Management Resources (CMR) and CompuSystems are the official hotel and registration management providers for the AACR Annual Meeting 2025. No other hotel, registration management companies, or travel agencies are authorized to place hotel reservations or registrations for the Annual Meeting on behalf of the AACR.
The AACR evaluates and chooses vendors who offer superior service and quality products to exhibitors. The AACR only provides the exhibitor list to official vendors. All official vendors must display the official vendor seal of the meeting. Please contact the exhibits team for further questions or clarification.
SOLICITING BUSINESS OUTSIDE BOOTH
Any individual observed to be soliciting business in the aisles or other public spaces, or in another company’s booth, will be in violation of our Exhibit Policies. The Floor Manager will be on duty to ensure that everyone follows the rules and regulations of the meeting. Should any exhibitor witness an individual, especially a non-exhibitor, violating this policy, we ask you to notify Exhibit Management immediately. Companies pay to exhibit at our meeting, and it is unfair practice for someone to conduct business without being an official exhibitor. We take this violation very seriously.

The AACR organizes a variety of outstanding conferences, meetings, and workshops each year to advance our understanding of cancer and to facilitate the exchange of the most cutting-edge research in the field. Attendees are invited to stretch their boundaries, form collaborations, attend sessions outside their areas of expertise, and learn how to apply exciting new concepts, tools, and techniques to their own research.
AACR Special Conferences present unique opportunities to interact with the world’s leading experts and discuss the latest findings in rapidly developing areas of cancer research. These popular conferences are relatively small (150-400 attendees) to allow ample time for discussion and networking.
The AACR also holds a variety of meetings on a recurring basis, including such collaborative programs as the San Antonio Breast Cancer Symposium, the Molecular Targets and Cancer Therapeutics Conference, the International Cancer Immunotherapy Conference, and the Biennial Meeting on Advances in Malignant Lymphoma.
